Tables are assigned on a first-come, first-served basis. The sooner you secure your spot, the greater your choice of location within the show floor.


Please Note:

  • Once your table location is assigned, it cannot be changed.
  • We recommend familiarizing yourself with the show floor layout to pick the best spot for your needs.


Commitment and Cancellation Policy:

By securing your payment, you're confirming your participation in the show. Unfortunately, refunds are not available in case of cancellation.


We encourage you to carefully review your schedule before booking.

Exhibitor Qualifications

  • No real weapons of any kind may be sold. This includes but is not limited to steel replica swords, knives, throwing stars, or blades of any kind. Items such as pepper spray, tasers, or any projectile weapons such as crossbows, arrows, or blow guns are not allowed.
  • All materials on display must be kept to a PG-13 rating.
  • Hot Food and Beverage Sales are not approved for The Hobby Card Show.
  • Banners and displays should not protrude from your space or exceed a height of 8 feet without prior management approvals.
  • The Hobby Card Show is committed to supporting the best of comics and creators. As such, counterfeit items, bootlegs, knock-offs, or other pirated items are not welcome at our event. Exhibitors selling counterfeit items may be removed from the event, banned from future editions of our show, and risk criminal prosecution.
  • Accepted exhibitors are expected to be at their table throughout the duration of the event.
  • Tables are to remain in the same position throughout the duration of the event. Exhibitor displays should not obstruct walkways or reconfigure event set up in any way.
  • Tables do not include electricity, and electricity cannot be ordered.
  • Exhibitors are responsible for making their own arrangements for processing state sales tax.

Show Terms and Conditions

THE HOBBY CARD SHOW — VENDOR TERMS & CONDITIONS (2026)

(Applies to all exhibitors, dealers, artists, and sponsors at The Hobby Card Show, Broward County Convention Center, Fort Lauderdale, FL.)

 

1) Anti-Counterfeit & Intellectual Property

  • The Hobby Card Show is committed to supporting legitimate collectors and creators. Counterfeit items, bootlegs, knock-offs, pirated goods, or infringing merchandise are strictly prohibited. This includes—but is not limited to—unlicensed apparel, prints/posters, DVDs/CDs/media, figures/toys, and digital/AI reproductions of others’ works.
  • AI-generated artwork may not be sold in any form (prints, apparel, mugs, canvases, etc.).
  • Unlicensed/bootleg posters and prints (pulled from the internet or copied from original artists/publishers/studios without permission) are prohibited.
  • Vendors found selling or displaying counterfeit/infringing goods may be removed without refundbanned from future editions, and referred for civil/criminal enforcement.

 

2) Exhibit Space, Footprint & Signage

Hard footprint limits:

  • Tables: Maximum 8’ wide x 5’ deep (total footprint).
  • Booths: Maximum 10’ x 10’ (total footprint).
  • Height limit: No exhibit may exceed 12’ in height without prior written approval.
  • Signage: Front-facing only; no blocking of adjacent exhibitors or shared aisle space.
  • Walls/fixtures: Nothing may be affixed to venue walls/fixtures with tape, glue, nails, tacks, or any adhesive. Vendors are responsible for any damage fees assessed by the venue.
  • No moving/swapping assigned spaces after the floor plan is finalized; do not relocate tables/booths without written HCS approval.
  • Vendor-Supplied Tables: Vendors who wish to bring their own tables must notify show management in advance. All personal tables must fit within the assigned footprint of their purchased space:
  1. For table spaces: 8 ft wide x 2.5 ft deep (8’x2.5’) maximum.
  2. For booths: 10 ft x 10 ft maximum.
  • Linens & Professional Appearance: All tables, whether provided by The Hobby Card Show or brought in by the vendor, must be dressed with table linens or coverings for the entire duration of the event. Bare tables or unfinished displays will not be permitted. Vendors are also expected to present appropriate signage or branding at their space to maintain a professional, clean, and cohesive event atmosphere.
  • Vendors may not extend merchandise, signage, or displays beyond their designated footprint. All displays, inventory, racks, banners, and signage must fit entirely within your footprint and must not obstruct aisles/exits or neighboring visibility.

 

3) Staffing, Hours & Early Breakdown (Prohibited)

  • Booths/tables must remain manned and fully intact during all public show hours.
  • The loading dock will not open for breakdown prior to the official close of the exhibit hall.
  • Early breakdown is prohibited. If you break down before close (without written permission), you may be removed without refund and banned from future events.
  • HCS is not responsible for issues arising from an unmanned booth during show hours.

4) Load-In / Load-Out, Parking & Timeliness

  • Load-in: Friday, 12:00 PM – 6:00 PM, via first-floor loading bay; use cargo elevators. Hand trucks/dollies recommended.
  • Load-out: Begins after Sunday’s posted close (not earlier than 5:00 PM).
  • Late arrival / forfeit: If you have not checked in within 1 hour of VIP or GA opening, HCS may reassign/forfeit your space without refund.
  • Parking: Not included in vendor fees; vendors are responsible for parking costs.


5) Sharing/Subleasing, Brand Representation & Proof of Business

  • No subleasing or sharing to unlisted parties. If you plan to share a space, the primary vendor and all sharing parties must be listed on the application. Unlisted parties will be denied entry to the vendor hall.
  • No national brands may conduct branding/lead gen under a proxy “standard exhibitor” without HCS written approval. Standard wholesaling remains permitted.
  • Vendors must provide a website or social media link verifying their business and the goods/services they intend to sell. Material misrepresentation (showing up with unrelated or prohibited categories) is grounds for removal without refund and possible ban.
  • HCS branding: You may not produce or sell merchandise using The Hobby Card Show name, logos, or marks without explicit written consent. Violations may result in ejection and legal action.6) Content Standards & Prohibited Sales/Activities


6) Content Standards & Prohibited Sales/Activities

  • This is a family-friendly event. The following are prohibited and may result in immediate removal without refund and a ban:
  • Adult/explicit content, nudity, offensive/hate imagery or slogans, or political propaganda likely to cause disruption.
  • Weapons: No sales or promotion of real or replica guns; no sword/knife/weapon vendors; no tasers/lasers; no dangerous items.
  • Smoking/vaping sales: No vape, tobacco, CBD, or smoking paraphernalia sales.
  • Food & beverage sales: Not permitted without prior written authorization from both HCS and the venue.
  • Live animals: Not permitted for sale or display.
  • Gambling: No bingo, lottery, high-risk games, or gambling of any kind.
  • On-site smoking: No smoking or vaping inside the venue at any time. All smoking must occur outside the building in designated open-air areas per venue policy.
  • Adult-themed collectibles (non-nudity) must be bagged/covered and kept out of reach of minors; no adult sales to minors. Displays must be professional, safe, and in good taste.

 

7) Badges, Staff Conduct & Solicitation Boundaries

  • Each space includes (2) vendor badges. Additional badges must be purchased in advance (limits apply).
  • Badges are non-transferable and may not be resold, loaned, or used as giveaways. Misuse may result in confiscation and removal.
  • You are responsible for the conduct of anyone wearing your company’s badge. Misconduct can lead to your removal without refund.
  • Solicitation boundaries: You may solicit/sell only within your immediate space. No aisle hawking or roaming sales.
  • Flyers/marketing: Distribute only from your space unless HCS grants written permission. A lobby flyer table may be provided at HCS discretion.

8) Cleanliness, Safety & Abandoned Property

  • Keep your space clean, organized, and free of trash during the show; dispose of daily waste in venue bins.
  • Do not block aisles, exits, or emergency pathways. Correct unsafe displays immediately upon request.
  • Abandoned property: Items not removed within 48 hours after the event closes will be considered abandoned and may be discarded at the vendor’s expense.

 

9) Liability, Insurance & Disputes

  • Vendors must comply with all federal, state, and local laws (including sales tax, product safety).
  • By participating, you release and hold harmless The Hobby Card Show / AR Events, LLC, the Broward County Convention Center, and their agents/contractors from claims related to participation, including personal injury, theft, property damage, or loss.
  • Insurance: HCS does not provide or maintain insurance for vendor persons or property; exhibitors are solely responsible for obtaining appropriate coverage.
  • All sales are strictly between vendor and customer; HCS is not a party to transactions and not liable for disputes.
  • Vendors are responsible for their vehicles, inventory, and cash management.

 

10) Photography, Media & Publicity Release

By exhibiting, you grant HCS the right to photograph, film, and otherwise record your booth, products, and likeness (and the likeness of your staff) for promotional use in any media, worldwide, without additional approval or compensation. HCS may edit, combine, and distribute such content at its discretion. Only credentialed media may film or conduct interviews on the floor.

 

11) Refunds, Cancellations & Communication

  • Refund schedule (2026):
  • Through Jan 1, 2026: Refund minus $150 per booth / $75 per table.
  • Jan 2 – Mar 1, 2026: Refund minus $250 per booth / $125 per table.
  • After Mar 1, 2026: Refund minus $350 per booth / $200 per table.
  • No refunds for no-shows, early teardowns, late arrival forfeiture, or rule violations.
  • If you cannot attend, notify HCS as soon as possible so accommodations can be considered. Failure to communicate may result in space forfeiture and exclusion from future events.

 

12) Additional Policies

  • HCS does not endorse any exhibitor’s views, products, or communications. Exhibitors do not represent HCS.
  • Celebrity areas, autograph lines, and green rooms are off-limits unless expressly authorized.
  • Vendor kits and final maps will be emailed with setup instructions and show hours. Follow all posted/emailed instructions.
  • Policy updates: HCS may amend rules at any time. If a change materially prevents you from selling your core product category, you will be notified and refunded in full.
  • Immediate termination: HCS may immediately terminate any vendor violating these Terms; upon notice, vendor must vacate with all property.
  • Governing Law: State of Florida; venue of any dispute is Broward County, FL.
